Position:  Human Resources Assistant,

We currently have an exciting career opportunity for  Human Resources Assistant   within  Jubilee Health Insurance Limited.  The position  holder will report to the  Human Resource Business Partner   and will be based at Head Office in Nairobi.

Role Purpose

The role holder will be responsible for  p rovid ing   effective   and efficient  Human Resource Operational support  to the   H R   Business Partners   whilst  delivering  timely  administration of  H uma R esource   service delivery  to staff   throu g hout the employee l ife cycle Thi role al so supports c ritical  HR processes such as pay roll,  employee welfare,  recr uitment   and any o ther dee med appropriate.  From time to time, the role holder   will  also  provide   co ver  for the HR  Officer     Recruitm ent,  L&D and ER   when necessar y.

Main Responsibilities

Recruitment support:

  Prepa r e   all off er lett ers for both permanent and contract staff
  Complet e   reference checks for  permanent hires  b efore the end of the pr obat ion   per i od .

Reward Management:

  • Ensure t imely admini stra tion of  relevant employee bene fits as they fall due
  • Updat e   Medical membership scheme be neficiaries and new staff members  and  coordinate distribution of   medical   card s for  all staff
  • Timely and  acc u rate updatin g o f the  mon thl Payroll inputs fil e   by the prescribed deadli ne
  • Sup port the H RBPs with the post annual reward cycle  queries .

A dministration

  • A ccurate g eneration o f all  docum ents   required   acr oss the en tire employee life cycle ; offers, introduction letters to bank s,  embassies ,   schools   etc. ; co nf irmation res ignation  acceptance disc iplinary    show cause,  invitation   to DC   hearings,  warni ngs,  dismis s al .
  • Prepar e   letters/forms to  Na tional  Industrial Training Authority [NITA]   for training reimbursements and payme nt of monthly  NITA   training  levy
  • E nsur e   maintenance of a ccurate org ch arts  for all   B usiness Units   and  liaising   with the respe ctive HRB Ps to ensure the data  is up to date.
  • Maintain   acc urate   trackers   for all entities   to   facilitate   Group  repo rting,   probation, disciplinary, PIPs .
  • Provide t i mely and accura te response to  all employee queries .
  • Co ordinate   on  all  logistics


  • Maintenance   of accurate an d up  to date  employee data on th e HRMIS  to  facilitate   accurate reporting of People   data and anal yti cs .
  • Extraction of  various reports  e.g.,   headcount, demographics   to  facilitate   monthly and a dho c HR reporting .
  • Creat e   n ew employees on the HRMI S and ensure  mandatory data is recorded.

Key Competencies

  • Detail oriented with problem solving abilities and conceptual   thinking.
  • Ability to handle detailed tasks and work with varying types of   data.
  •   Ability to maintain   confidentiality.
  • A team player willing to learn, apply and improve Quality Assurance best practices   consistently.


  • An underg raduate degree in  Social  Sciences   from   a recognised institut ion
  • Higher Diploma in Human Resourc e Management   o r CHRP   is desirable

Relevant Experience

  • At le ast  1   years’ experience   in  a Human Resource
